A repeatable content gap analysis template makes the process consistent, scalable, and actionable whether you are running it for one website or twenty. This is the exact template structure we use at Dexora Digital for every content strategy engagement, updated for 2026 to include AI search gap columns that most templates still miss.
Why Templates Matter for Content Gap Analysis
Without a structured template, content gap analysis produces a list of keywords with no clear priority order and no action pathway. The template transforms a keyword list into a prioritized content calendar with specific content types, assigned owners, target URLs, and success metrics for every gap.
Before populating any template, run the free audit at allinoneseoaudit.com to establish your technical and content baseline. Check AI crawler access at aiagentchecker.net to confirm AI systems can access your website. Both checks identify issues that affect every content piece you create and should be completed before any gap analysis work begins.
The Complete Column Structure
Build your content gap spreadsheet with these columns in this order:
Keyword — the exact search query
Monthly Search Volume — from your keyword tool
Keyword Difficulty (KD) — from your keyword tool, 0 to 100 scale
Search Intent — Informational, Commercial, Transactional, or Navigational
Competitor 1 Position — their Google ranking for this keyword
Competitor 2 Position — their Google ranking
Competitor 3 Position — their Google ranking
Your Current Position — your Google ranking, 0 if not ranking
Gap Type — see categories below
AI Overview Trigger — Yes or No based on manual Google search
AI Cites Competitor — Yes or No based on checking ChatGPT and Perplexity
Priority Score — calculated from the formula below
Content Type Needed — Pillar Article, Sub-Article, FAQ Update, Location Page, or Schema Fix
Target URL — the planned URL for the content addressing this gap
Assigned To — writer, SEO specialist, or team
Target Publish Date — based on priority score and capacity
Status — Not Started, In Progress, Published, Ranking
Actual Position After 90 Days — tracking column to measure results
The Four Gap Type Categories
Missing — No content exists on your website for this keyword. The highest priority gap type because no existing asset needs improvement. New content creation required.
Weak — Content exists but ranks below position fifteen. The topic is covered but insufficiently. Requires significant content expansion or replacement.
AI Gap — Content exists and may rank traditionally but is not cited by AI systems for this query. Structural content changes needed: FAQPage schema, direct answer formatting, entity signal strengthening. Does not always require new content, often requires structural improvements to existing content.
Depth Gap — Primary topic is covered but important subtopics that competitors address are missing. Requires supplementary sub-articles and updated internal linking rather than replacing the primary article.
Priority Scoring Formula
Assign scores to each gap using this formula:
Volume Score (1 to 5): Under 100 searches per month = 1 100 to 500 = 2 500 to 1,000 = 3 1,000 to 5,000 = 4 Over 5,000 = 5
KD Score (1 to 5): KD 0 to 10 = 5 KD 11 to 20 = 4 KD 21 to 30 = 3 KD 31 to 40 = 2 KD above 40 = 1
Intent Bonus: Add 2 for Commercial intent. Add 1 for Informational. Add 0 for Navigational.
AI Bonus: Add 2 if AI Overview triggers for this query. Add 1 if competitors are cited in AI responses.
Total Priority Score = Volume Score + KD Score + Intent Bonus + AI Bonus
Maximum possible score is 14. Scores above 10 are month one priorities. Scores seven to nine are month two. Scores below seven are month three and beyond.
Sample Completed Template Rows
Using keywords from our research on this topic:
| Keyword | Volume | KD | Competitor 1 | Your Position | Gap Type | AI Overview | Priority Score |
| how to do a content gap analysis | 480 | 12 | Position 3 | Not ranking | Missing | Yes | 13 |
| content gap analysis tools | 90 | 17 | Position 2 | Not ranking | Missing | Yes | 10 |
| content gap analysis template | 320 | 27 | Position 4 | Not ranking | Missing | No | 9 |
| why content gap analysis is important | 110 | 8 | Position 1 | Not ranking | Missing | Yes | 12 |
| ai tools for content gap analysis | 140 | 9 | Position 2 | Not ranking | Missing | Yes | 12 |
All five of these would be month one priorities based on their scores.
The AI Search Gap Columns in Practice
The AI Overview Trigger and AI Cites Competitor columns are the 2026 addition most templates miss. Here is how to populate them efficiently.
For every keyword in your template, search it in Google and note whether an AI Overview appears in the search results. Record Yes or No in the AI Overview Trigger column. This takes about 10 seconds per keyword.
For keywords where AI Overviews appear, check whether any of your competitors are cited as sources. Also search the query in ChatGPT and Perplexity and note which websites are referenced. Record Yes or No in the AI Cites Competitor column.
Any row where AI Cites Competitor is Yes and your website is not cited is an AI content gap requiring structural attention. The primary fixes are adding FAQPage schema to relevant pages and ensuring AI crawlers have access at aiagentchecker.net.
Using the Template With Specific Tools
With Google Search Console: Export your Performance data and paste your current ranking positions directly into the Your Current Position column. Filter your export to the last 90 days for the most relevant data.
With Semrush Keyword Gap: Export the Missing and Weak filter results and paste directly into your template rows. The export includes volume and KD automatically.
With Ahrefs Content Gap: Export competitor gap results and add to template. Ahrefs’ output includes SERP features which helps populate the AI Overview Trigger column automatically.
With All In One SEO Audit: Run allinoneseoaudit.com on your website and use the on-page audit findings to identify which existing pages qualify as Weak or AI Gap types in your template.
