What is workflow automation?
Workflow automation (or business process automation) means connecting your software so that an event in one tool triggers actions in others without someone doing it by hand. A new form submission creates a CRM contact, assigns an owner, sends a reply and creates a follow-up task. A signed quote creates an invoice and a project. A paid invoice updates the deal and sends a thank-you.
Each automation is small. Together they remove hours of admin every week and, just as importantly, stop leads and jobs from falling through the gaps.

What should you automate first?
Start where time and money leak. We score each candidate workflow on three things: how often it happens, how long it takes by hand and what it costs when it goes wrong. In most small businesses the winners are:
- Lead capture and routing, because speed-to-lead directly affects sales.
- Follow-up tasks and reminders, because forgotten follow-ups are lost revenue.
- Booking and calendar sync, because double entry causes no-shows and double bookings.
- Quotes, invoices and payment reminders, because cash flow depends on them.
- Reporting, because nobody should build the same spreadsheet every Monday.
Where AI fits inside a workflow
AI is most useful as a step inside a workflow rather than as a separate tool. It can read an incoming email and decide what it is about, summarise a call transcript into CRM notes, extract fields from a PDF quote, score a lead from a free-text message or draft a reply for a human to approve. We keep humans in the loop for anything customer-facing until the results are proven.
