What is a lead management system?
A lead management system is the process and software that captures every enquiry, records where it came from, decides who handles it, tracks each follow-up and records the outcome. A CRM (customer relationship management) platform is the software; the pipeline, rules and automations you build inside it are what turn it into a system.
Without it, leads arrive through forms, phone calls, chat, social media and email, and each one depends on someone remembering to act. With it, every lead is visible, owned and followed up.

How to design a sales pipeline that works
- Keep stages few and factual: New, Contacted, Qualified, Quoted, Won, Lost. Each stage should describe something that happened, not a feeling.
- Define what moves a deal to the next stage and make the key fields required.
- Record lost reasons, because they tell you more about your marketing than won deals do.
- Attach a next step (a task or sequence) to every open deal.
- Separate pipelines only when the sales process is genuinely different, such as residential and commercial.
