Your team is the integration between your tools

A lead fills in a form. Someone copies it into the CRM, sends a welcome email, tells the right salesperson, adds a follow-up reminder and later re-types it into an invoice. Every copy is a delay and a chance for a mistake.

Workflow automation connects those tools so the data moves itself. Your team keeps doing the work that needs a human, and the rest happens in seconds, every time, even when everyone is busy.

If your team copies the same data between two tools every day, that is a workflow waiting to be automated.

Workflow automation: a practical guide

How to choose a platform, what to automate first and how to keep automations reliable.

Team mapping a business process with sticky notes on a glass wall
12+tools we connect
every week

What is workflow automation?

Workflow automation (or business process automation) means connecting your software so that an event in one tool triggers actions in others without someone doing it by hand. A new form submission creates a CRM contact, assigns an owner, sends a reply and creates a follow-up task. A signed quote creates an invoice and a project. A paid invoice updates the deal and sends a thank-you.

Each automation is small. Together they remove hours of admin every week and, just as importantly, stop leads and jobs from falling through the gaps.

Make.com vs n8n vs Zapier: which should you use?

PlatformBest forWatch out for
ZapierSimple, linear automations and the widest range of app integrations. Easy for teams to understand.Costs rise quickly with high task volumes and multi-step logic.
Make.comVisual, multi-branch workflows with data transformation at a lower cost per operation.Complex scenarios need good structure and documentation.
n8nAdvanced logic, AI agents, custom code and self-hosting when data control matters.Self-hosting needs maintenance; best with a technical partner.

We are platform-neutral. If you already use one, we usually build there. If not, we recommend the one that fits your volume, budget and data needs, and explain why.

What should you automate first?

Start where time and money leak. We score each candidate workflow on three things: how often it happens, how long it takes by hand and what it costs when it goes wrong. In most small businesses the winners are:

  • Lead capture and routing, because speed-to-lead directly affects sales.
  • Follow-up tasks and reminders, because forgotten follow-ups are lost revenue.
  • Booking and calendar sync, because double entry causes no-shows and double bookings.
  • Quotes, invoices and payment reminders, because cash flow depends on them.
  • Reporting, because nobody should build the same spreadsheet every Monday.

Where AI fits inside a workflow

AI is most useful as a step inside a workflow rather than as a separate tool. It can read an incoming email and decide what it is about, summarise a call transcript into CRM notes, extract fields from a PDF quote, score a lead from a free-text message or draft a reply for a human to approve. We keep humans in the loop for anything customer-facing until the results are proven.

How we keep automations reliable

  • Error handling on every workflow, with alerts to a named person when something fails.
  • Retries and fallbacks, for example assigning a backup owner if the first is unavailable.
  • Naming and documentation so anyone can see what each automation does.
  • Built on your accounts so you own everything and are never locked in.
  • Monthly checks on run logs and volumes when you choose ongoing support.

Workflows are at their best when your CRM is set up properly. See CRM setup and lead tracking.

Is workflow automation right for you?

If the same data is typed into more than one tool, the answer is usually yes.

A great fit if you

  • Copy leads or orders between tools by hand
  • Lose leads between forms, email and CRM
  • Send the same emails and reminders manually
  • Build reports in spreadsheets every week
  • Use 5 or more business apps

Probably not yet if you

  • Have not chosen your core tools yet
  • Run a process that changes every week
  • Only handle a few transactions a month
  • Need a full custom software platform
  • Want to automate before the process works by hand

How we build your workflows

Mapped, built, tested and documented, so they keep working long after launch.

  1. 1Week 1

    Process mapping

We map how work moves between your tools and people and agree what to automate first.

  2. 2Week 1-2

    Design

We design each workflow with triggers, rules, error handling and owners, and confirm it with you.

  3. 3Week 2-3

    Build and test

We build on your accounts, test with real data and run edge cases before switching on.

  4. 4Ongoing

    Monitor and extend

We hand over documentation, monitor runs and add new automations as you grow.

What drives the cost

Fixed pricing per workflow or package, agreed before we start.

Number of workflows

One lead-routing workflow is a small project. A full sales-to-invoice system is several connected workflows.

Apps and data

Well-known apps with ready connectors are quick. Custom APIs, legacy software and data clean-up take longer.

Logic and AI steps

Branching rules, AI classification, document extraction and approvals add design and testing time.

Platform subscriptions (Make.com, n8n, Zapier) are paid directly by you, so you keep ownership. We help you choose the right plan.

Done-for-you automation vs doing it yourself

The tools are easy to sign up for. Reliable, documented workflows are the hard part.

Workflow automation FAQs

The Dexora Digital team at work
Question not answered here?Email ahmad@dexoradigital.com, we reply to every message.
What is the difference between workflow automation and business process automation?
They are used almost interchangeably. Business process automation usually describes the wider goal of automating a process such as lead handling or invoicing; workflow automation describes the connected steps between tools that make it happen.
Should I use Make.com, n8n or Zapier?
Zapier is easiest for simple automations with the most app integrations. Make.com handles complex, branching workflows at a lower cost per operation. n8n suits advanced logic, AI agents and self-hosting. We recommend the best fit for your volume, budget and data needs.
How much does workflow automation cost?
It depends on the number of workflows, the apps involved and the logic required. We price per workflow or as a package with a fixed quote after a free audit. Platform subscriptions are paid directly by you.
How long does it take?
Most single workflows take a few days. A connected set covering lead handling, follow-up and invoicing usually takes 1 to 3 weeks including testing.
What happens if an automation breaks?
Every workflow we build has error handling and alerts. If an app changes or a step fails, a named person is notified and the run can be retried. With ongoing support, we monitor and fix issues for you.
Do I own the automations?
Yes. We build on your accounts and provide documentation for every workflow, so you are never locked in.
Can you add AI to my workflows?
Yes. We add AI steps to summarise emails and calls, classify and score leads, extract data from documents and draft replies, with human approval where it matters.
Can you connect software that does not have a Zapier or Make integration?
Often, yes. If the software has an API or webhooks we can connect it directly, and n8n allows custom code when needed.
